This Privacy Policy explains how we collect, use, store, disclose, and protect personal data when you access or use the Clxrity website, application, and related services (collectively, the “Platform”).

By creating an account, accessing, or using the Platform, you acknowledge that you have read this Privacy Policy and, where applicable, consent to the processing of your personal data as described in it.

Postal Address: 209 B.S. Hostel, IIM Sambalpur, 768025 Sambalpur, Odisha, India.

2. Scope of This Policy

This Privacy Policy applies to personal data collected or processed through the Clxrity website, user account creation and login, student and coordinator interactions on the Platform, access to schedules, resources, announcements, and academic utilities made available through the Platform, and support requests, complaints, objections, or communications with us.

This Privacy Policy does not apply to third-party websites, services, or platforms that may be linked from Clxrity or integrated into it but are not controlled by us.

3. The Data We Collect

Depending on how you use Clxrity, we may collect and process the following categories of data.

A. Account and Identity Information

We may collect your full name, institute email address, authentication identifiers, user ID, institute, campus, batch, program, course affiliation details, and profile information that you choose to provide on the Platform.

B. Access and Usage Information

We may collect login timestamps, browser and device information, IP address or approximate location inferred from technical logs, pages and features accessed, and activity logs relevant to security, entitlement checks, troubleshooting, reliability, and abuse prevention.

C. Academic and Platform Information

We may collect or process enrollment-linked or batch-linked access mappings, timetable visibility and course or resource entitlement data, coordinator-scoped and other role-based permission data, and limited interaction data relating to resources or platform surfaces where such logging is enabled for security, operational integrity, or troubleshooting.

D. Communications and Support Information

If you contact Clxrity, we may collect the contents of your message, support request, complaint, objection, takedown request, or other communication, together with related records required to review and respond to it.

4. How We Collect Data

We may collect personal data directly from you when you sign up, log in, complete your profile, use features of the Platform, or contact us. We may also collect data from your interactions with the Platform, from account-linked academic affiliation or access-control mappings necessary to determine what content you are entitled to access, and from technical systems, logs, hosting providers, authentication systems, storage systems, and other infrastructure reasonably necessary to operate Clxrity.

5. Why We Use Your Data

We may process personal data for the following purposes.

A. To Provide the Platform

We use data to create and manage user accounts, authenticate users, maintain sessions, and provide Clxrity’s features and services.

B. To Enforce Access Boundaries and Role-Based Permissions

We use personal data and account-linked academic affiliation data to determine what content, schedules, resources, and coordinator tools a user is entitled to access. This includes batch-based, campus-based, coordinator-scoped, and other role-based permission checks designed to restrict access to the relevant entitled audience only.

C. To Deliver Resources Securely

We may process data to host, retrieve, stream, preview, or securely deliver academic resources and related materials through controlled access mechanisms.

D. To Maintain Security and Integrity

We use data to detect misuse, unauthorized access, suspicious activity, abuse of platform features, and behavior that may threaten users, institutions, or the Platform.

E. To Communicate With You

We may use your institute email address to send service-related notices, verification prompts, account updates, support responses, policy notices, security alerts, and other communications necessary for the operation of Clxrity.

F. To Handle Complaints, Disputes, and Takedown Requests

We may process relevant information to review privacy concerns, institute objections, takedown requests, copyright or confidentiality concerns, and content restriction or removal decisions.

G. To Improve the Platform

We may use limited technical and usage data to debug issues, improve platform performance and reliability, strengthen access controls, and improve user experience.

H. To Comply With Law

We may process and disclose data where reasonably necessary to comply with applicable law, legal process, regulatory requirements, lawful requests by authorities, or to protect the rights, safety, and security of Clxrity, its users, institutes, or others.

6. Content and Institute Materials

Clxrity is designed as an access-controlled platform and not as a public repository of institute materials.

Where institute-related schedules, resources, announcements, or academic materials are made available through Clxrity, we aim to restrict access based on the relevant batch, course, campus, role, or entitlement scope configured on the Platform.

Clxrity does not claim ownership over institute-originated or academic materials made available through the Platform. Such materials remain subject to the rights and interests of their respective owners, authors, faculty members, departments, or institutions.

Clxrity does not proactively inspect or use institute materials beyond what is reasonably necessary to host, store, secure, deliver, restrict, troubleshoot, review, or remove such materials in connection with platform operation, entitlement verification, security, compliance, or complaint handling.

If any institute, faculty member, department, or authorized stakeholder objects to the presence, hosting, display, or circulation of material on Clxrity, we may suspend, restrict, disable, review, or remove such material.

7. When We Share Data

We do not sell personal data.

We may share personal data only in limited circumstances.

A. Service Providers and Infrastructure Partners

We may share data with trusted service providers that help us operate Clxrity, including providers for hosting, deployment, authentication, database services, storage, logging, analytics, security, email, and related technical services.

B. Role-Based and Coordinator-Scoped Operational Access

Where necessary for platform operation, support, complaint handling, or access control, limited data may be accessible to appropriately authorized Clxrity operators and, where applicable, coordinators acting strictly within the scope of their assigned permissions. Such access is limited to what is reasonably necessary for platform administration, entitlement checks, and related operational functions.

C. Legal and Safety Reasons

We may disclose data where we believe it is reasonably necessary to comply with law or legal process, respond to lawful requests by public authorities, enforce our Terms or policies, investigate fraud, misuse, or unauthorized access, or protect the rights, safety, integrity, or security of Clxrity, its users, institutes, or others.

D. Business Transfer

If Clxrity undergoes a merger, acquisition, restructuring, financing, sale of assets, or similar transaction, personal data may be transferred as part of that process, subject to applicable law.

8. Third-Party Service Providers

Clxrity may use trusted third-party service providers to operate the Platform. These may include Vercel for hosting, deployment, and web analytics, and Supabase for authentication, database, and storage services, to the extent such services are used by Clxrity.

Such providers may process limited technical or account-related data only to the extent reasonably necessary to provide their services to Clxrity.

9. Cookies, Sessions, and Analytics

Clxrity uses cookies, session cookies, and similar technical mechanisms that are reasonably necessary to keep users signed in, maintain secure authenticated sessions, enforce access controls, and support essential platform functionality.

Clxrity also uses Vercel Web Analytics to understand aggregate website usage and improve platform performance and reliability. This analytics functionality may process limited anonymized or aggregated usage data.

Clxrity does not use analytics for advertising-based profiling or sale of personal data.

10. Data Retention

We retain personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including account management, security, fraud prevention, entitlement verification, support, complaint handling, legal compliance, dispute resolution, and enforcement of our rights and policies.

We may delete, anonymize, or de-identify data when it is no longer reasonably needed, subject to legal or operational retention requirements.

If an account is deleted or deactivated, some information may still be retained for a limited period where necessary for compliance, security, record-keeping, abuse prevention, or dispute resolution.

11. Data Security

We use reasonable technical, organizational, and administrative safeguards designed to protect personal data against unauthorized access, disclosure, alteration, misuse, and destruction. These measures may include authentication controls, role-based and coordinator-scoped access restrictions, server-side entitlement verification, private storage architecture, signed or time-limited resource delivery, and audit or security logging where appropriate.

However, no platform, transmission method, or storage system can be guaranteed to be completely secure, and no security measure eliminates all risk.

12. Your Choices and Rights

Subject to applicable law, you may have the right to request access to certain personal data associated with your account, request correction of inaccurate or incomplete data, request deletion of personal data subject to legal and operational limitations, withdraw consent where consent is the basis of processing, and raise a complaint or objection regarding how your data is handled.

To make such a request, contact: clxrityos@gmail.com

We may require reasonable verification of identity before acting on a request.

Where applicable law permits or requires us to retain data, comply with legal obligations, protect security, enforce policies, or resolve disputes, we may decline or limit a request to the extent permitted by law.

13. Children and Minors

Clxrity is intended primarily for college, university, and academic users. It is not directed at children. If you are not legally permitted to provide valid consent on your own under applicable law, you should use Clxrity only with the involvement, authorization, or consent of your parent or lawful guardian where required.

If we become aware that personal data has been collected in a manner inconsistent with applicable legal requirements relating to minors, we may restrict processing, suspend the account, or delete the relevant data.

14. Cross-Border Processing

Depending on the infrastructure and service providers used by Clxrity, personal data may be processed, stored, or accessed in jurisdictions other than the place where you are located.

Where such processing occurs, we take reasonable steps to ensure that data is handled with appropriate safeguards consistent with the nature of the services involved and applicable law.

15. Third-Party Links and External Content

The Platform may contain links to third-party websites, documents, forms, viewers, or services not controlled by Clxrity. We are not responsible for the privacy practices of such third parties. You should review their privacy policies before interacting with them.

16. Complaints, Objections, and Takedown Requests

If you have a privacy concern, complaint, objection relating to institute material, concern regarding unauthorized circulation, or request for review or takedown, you may contact us at:

Email: clxrityos@gmail.com

We aim to review complaints and concerns in good faith and may take appropriate action, including restriction, review, suspension, or removal of disputed material where warranted.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in law, platform functionality, infrastructure, operational requirements, or security practices.

When we make material changes, we may update the “Last Updated” date above and take reasonable steps to notify users where appropriate.

Your continued use of the Platform after an updated Privacy Policy becomes effective will be subject to the updated version, except where applicable law requires a different form of notice or consent.
